How to write a short cover email for a job application

A simple structure and a template for a cover email that recruiters will actually read, for freshers and experienced applicants.

Many applications are sent by email. A long letter is rarely read; a clear, short message gets a look at your resume. Keep it to about 100 to 150 words. The email has one job: to make the reader open your resume.

The subject line

Make it easy to file and search: Application for Data Analyst, Your Name. If the job post gives a reference number or a required format, use it exactly. Do not leave the subject empty, and do not write only "Job application".

A simple structure

  1. Greeting: use the recruiter's name if you know it, otherwise "Dear Hiring Team".
  2. Who you are and what you are applying for: one sentence.
  3. Why you fit: two or three sentences with your most relevant skills or results.
  4. The ask: say your resume is attached and that you would welcome a conversation.
  5. Sign-off: your name, phone number and a link to LinkedIn or your portfolio.

A template for a fresher

Subject: Application for Junior Marketing Executive, Asha Rahman

Dear Hiring Team,

I am writing to apply for the Junior Marketing Executive role. I recently completed my BBA and managed the Instagram page of my college club, growing it from 1,200 to 5,000 followers in four months.

I have worked with Canva, Google Analytics and basic SEO, and I enjoy turning numbers into content ideas. My resume is attached, and I would be glad to speak about how I can help your team.

Thank you for your time.

A template for an experienced applicant

Subject: Application for Senior Accounts Executive, Rohan Mehta

Dear Ms Iyer,

I would like to apply for the Senior Accounts Executive position. I have four years of experience in accounts, handling monthly reconciliation and GST returns for more than 20 clients in Tally and Excel.

In my current role I shortened the month-end close by two days by introducing a checklist for the team. I believe this experience would help your finance team. My resume is attached, and I am available for a call at your convenience.

Regards,
Rohan Mehta

Tips

  • Write one version per job. A message that mentions the role and the company is far better than a copy sent to everyone.
  • Attach your resume as a PDF with a clear file name, such as Asha-Rahman-Marketing.pdf.
  • Send from a professional email address.
  • Proofread, and check you have attached the file before you send.
  • Keep the tone polite and direct. Avoid words like "kindly do the needful".
  • If you hear nothing, one polite follow-up after about a week is fine.

A short follow-up message

Dear Hiring Team, I applied for the Junior Marketing Executive role on 14 October and wanted to check whether you need any more information from me. I remain very interested in the position. Thank you. Asha Rahman

Common questions

Do I need a cover email if I apply through a portal? Many portals have a cover letter box. If it is optional, a short note can still help.

Should I paste my resume in the email body? No. Attach it as a file, and keep the email short.
